Audit trail
Every create, edit, approval, signature, print and posting across all modules — who did it, when, and what changed.
Entries cannot be edited or deleted. Retained for 7 years in line with the Inland Revenue record-keeping requirement.
Accounting integration
Posted GRNs, matched invoices, payments and stock movements are sent to the accounting system as journal entries. Nothing is keyed in twice.
{{ acJv.event }}
{{ acJv.status }}Tax configuration
Tax codes and the default taxes applied to products (item master) and services (work order item master). Requisitions, orders and invoices pick up tax from here.
Work order item master
Chargeable service lines with agreed rates. Work orders draw their charge lines from this master.
{{ wmd.desc }}
{{ wmd.status }}Only active items appear in the work order charge-line picker, so a rate under review cannot be committed to a supplier by mistake.

Quotations
Collect, record and compare supplier quotations for {{ site }}.
{{ qUploadNote }}
{{ quoteRule }}
Quotations are obtained by Stores from the approved supplier list. Where only one supplier can supply, the single-source justification is recorded on the comparison sheet.
The supplier document, the comparison and the recommendation are retained together with the requisition for audit.

Approvals
Every document waiting on a signature, routed by value threshold and the RACI matrix. Budget verification is mandatory before approval.
Select a document to open its approval detail in the side panel — budget position, threshold checks and the full signature chain.
Purchase orders & work orders
One order can draw on several requisitions, and a requisition can be split across several orders. Item lines close against a GRN; service lines close on confirmation.

Stores records what physically arrived against the order. A quantity variance holds the balance open and blocks the matching invoice in Finance.
{{ gd.sup }}
{{ gd.stage }} {{ gd.note }}2 · Record what arrived — {{ grnPo }}
{{ grnMeta }}
Received quantity differs from the PO. The GRN records the variance, holds the balance open against the supplier and blocks the matching invoice in Finance.
Supplier invoices
Record supplier invoices against a purchase order and track the three-way match before payment.
{{ ivd.sup }}
{{ ivd.status }}{{ invUploadNote }}
An invoice can only be recorded against an approved purchase order or work order. The quantity and rate are checked against the PO and the goods receipt note before Finance releases payment.
Where no order was raised — a retrospective purchase — the invoice is held as blocked until the order is created and approved.
Stores verifies the security seal on arrival, then submits the invoice with the GRN to Finance at step 15.
Payment release
Payment is released only against a matched purchase order, goods receipt note and supplier invoice. Invoices are recorded in the Invoices module.
{{ payPd.sup }}

Evaluated annually on quality, delivery, safety, compliance and cost. Urgent purchases may only use listed suppliers.

Item master & catalogue
Item codes and part numbers, category and sub-category, unit of measurement, minimum and maximum levels, and the quantity held at each store.
Stock in & stock out
Receipts against a purchase order, receipts from another branch, returns to inventory, and issues to departments, employees and work orders.
Stock transfer
Store-to-store and branch-to-branch transfers. Stock leaves the sending store on dispatch and is held in transit until the receiving store confirms.
Stock issue
Requests to Engineering Stores to issue items to a line, equipment or department. Stock leaves the bin card when Stores records the issued quantity.
New stock issue
To: Engineering Stores — please issue the following items. {{ site }}{{ isuD.where }}
{{ isuD.st }}Stock return
Unused material returned by departments and contractors. Returnable items re-enter stock against the original requisition; consumables are recorded but not returned to the bin card.
Damage & loss
Damaged, lost, expired and defective stock. Every entry carries a reason and passes a write-off approval before the quantity is removed from the bin card.
Stock adjustment
Physical count against system quantity. Variances are recorded with a reason, approved, and written to the audit trail before the balance changes.

{{ selXfer.from }} → {{ selXfer.to }} {{ selXfer.stageLabel }}{{ selXfer.transitNote }}
A branch-to-branch transfer needs Stores Manager approval at both ends. Quantity leaves the sending bin card on dispatch and sits in transit until the receiving store confirms.
{{ selRet.desc }}
{{ selRet.kind }} {{ selRet.state }}Electrical and mechanical spares are flagged returnable in the item master: an accepted return raises the bin-card balance and reverses the issue value against the budget line.
Consumables — inks, make-up, solvent and cleaning items — are non-returnable. The return is recorded for traceability, but the quantity is not added back to stock.
Stock is only reduced at the final step. Until then the quantity stays on the bin card and is flagged as held.
{{ selDmg.desc }}
{{ selDmg.stageLabel }}Opening quantities are entered once per item, per store, at the start of the financial year or when a new store is commissioned. The figure becomes the first line of the bin card.
After the period opens, quantities can only change through a receipt, an issue, a transfer, a return, a write-off or an approved adjustment.
